POLICIES at AFT commencing 20th January 2025

We at Any-One for Tennis (AFT) value your custom. To ensure you are provided with the best service possible, please take a moment to read the following updated Terms and Conditions.

We realise that there are many things that come up in people’s day to day lives and while we try to be sympathetic, we cannot absorb the financial responsibility of last-minute cancellations. Coaches and session times have been allocated and cannot be rescheduled or cancelled without the required notice. You do however have the option of sending someone else to take the scheduled lesson in your place if you are unable to attend. In fairness to all clients, this policy is in effect regardless of the reason for the cancellation.

MAKE-UP & CANCELLATION POLICIES

PRIVATE LESSONS
Private make-up lessons are offered for sessions missed due to the following reasons:
• Illness, Injury, School Camp, Family Emergency

To be eligible for a make-up lesson, you must contact AFT via email on raelee@aftgeelong.com.au or 0402 335 764 before our cut-off times which are:
• AM Lessons: 7pm on the night prior
• PM Lessons: 10am on the day of the lesson

Two make-up lessons will be available per student per term for private lessons. This must be completed within the same term.

GROUP LESSONS, SQUADS, CARDIO, TINY TOTS
Makeup lessons for these sessions will be on availability only, no credits will be issued for these.

TRAVEL
Please notify Raelee via email at the beginning of each term if you are missing any lessons due to travel arrangements. Students will be offered opportunities to attend make-up lessons. If it is not possible for make-up lessons, at Raelee’s discretion she may agree to adjust the invoice for the weeks that the student can attend lessons.

MAKE-UP & CANCELLATION FAQ’S
Scenario 1: My child has been picked up after school and isn’t feeling well, can we get a makeup or credit?
Answer: In the instance where a child is picked up after school and isn’t feeling well, unfortunately, the notice period for a make-up lesson is considered too late

Scenario 2: My child has missed a lesson due to the weather (heat out/wash out), can we get a makeup lesson?
Answer: If your child misses a lesson due to the weather, AFT Tennis will be in touch to provide options for a makeup lesson either during the term or during the school holidays.

Scenario 3: It has been raining or there is extreme heat, is the lesson still going ahead?
Answer: When uncertain about whether a session will proceed due to the rain/heat, if there is no post on Facebook/Instagram this indicates the lesson will continue as scheduled.

Scenario 4: Can my makeup lesson be carried over to the following term or credited to the next term’s invoice?
Answer: Makeup lessons cannot be carried over to the following term or credited.

Scenario 5: My child has sustained a significant injury (i.e broken their leg) or has a long-term illness (defined as longer than 2 weeks absence), can we get credit for these missed lessons?
Answer: For situations where a child sustains a significant injury or has a long-term illness, credits can be arranged based on extenuating circumstances or prolonged recovery periods. Please discuss this with Raelee on raelee@aftgeelong.com.au

Scenario 6: My family is going overseas for an extended period and we have given AFT at least two weeks’ notice, can these lessons be credited to the next term’s invoice?
Answer: If you’ve planned an absence and informed AFT of this before the term commencement, arrangements can be made for makeup lessons throughout the term (or during the school holidays). Please contact raelee@aftgeelong.com.au to organise. A maximum of 2 makeups will be allowed and credits (in the following term’s invoice) will only be given in extenuating circumstances and on a case-by-case basis.

PLAYER WITHDRAWALS DURING TERM TIME
If a player withdraws from their lesson position during the term without giving notice at the start of the term to Raelee they will be required to pay a termination fee of 2 lessons.

WEATHER/WASH OUT/HEAT OUT
In the event of a wash-out or a heat-out due to the weather it will be posted on our Instagram and Facebook pages below. Please like these pages so you will see the updates during the term.

Please do not call AFT to enquire if the lesson is going to proceed, if there hasn’t been a post made the courts are playable and attend your lesson as usual.

PAYMENTS
INVOICING/CONFIRMING YOUR ENROLMENT
Clients will be emailed invoices and ‘are you returning next term’ prior to the end of each term. Please reply back to this via email as soon as possible to confirm your position. This is a really lengthy process and it takes the majority of the school holidays for groupings to be organised.

Accounts must be paid in full during the first week of the following term. If you would like to pay before the end of the current term you can go into the draw to win free fees for the following term. PLEASE remember to reply to the email first before you pay.

Cash payments are accepted. Please make sure they are in an envelope with the childs name, day and time of lesson and coaches name. If these are not given to Raelee please send an email to let her know that they have been given to a coach.

Each term’s invoice will differ depending on the number of weeks in the term. AFT Tennis term dates are in line with the Victorian Government School Dates. AFT Tennis does not invoice for Public Holidays as there is no coaching on these days (except for Geelong Cup Day). If you would like to make a change to your class or do not wish to continue with your lessons for the following term please email raelee@aftgeelong.com.au two weeks prior to the end of term so we can adjust your booking and invoice accordingly.
